Office Cleaning Checklist: Daily, Weekly, Monthly and Yearly Tasks

Use this checklist to set up a new cleaning service, audit your current one, or split tasks between your cleaners and your staff. It reflects how East Bay offices are typically cleaned, from small suites to full floors.

How often each task happens depends on traffic. A 40-person office with a shared kitchen needs nightly restroom and kitchen cleaning. An 8-person suite can often go two or three times a week. Treat the "every visit" list as the core, then move tasks up or down a level to match how your space is used.

Every visit (nightly to weekly, depending on schedule)

Restrooms

  • Clean and disinfect toilets, urinals, seats and handles
  • Clean sinks, faucets and counters; polish mirrors
  • Refill toilet paper, paper towels, hand soap and seat covers
  • Empty trash and sanitary bins; replace liners
  • Mop floors with disinfectant, including behind toilets
  • Wipe partitions, door handles, light switches and dispensers

Kitchen and break room

  • Wipe counters, tables and chairs
  • Clean the sink and faucet
  • Wipe fronts of the refrigerator, microwave, dishwasher and coffee machine
  • Empty trash, recycling and compost; replace liners
  • Sweep and mop the floor

Workspaces, conference rooms and reception

  • Empty trash and recycling at every desk
  • Wipe clear desk surfaces and conference tables (without moving papers)
  • Disinfect shared touch points: door handles, light switches, elevator buttons, shared phones and printers
  • Straighten conference room chairs and wipe whiteboard trays
  • Clean glass entry doors and reception counters

Floors

  • Vacuum carpeted walkways, offices and entry mats
  • Sweep and damp mop hard floors
  • Spot clean spills and visible stains

Weekly

  • Dust all reachable surfaces: shelves, cabinet tops, window sills, picture frames
  • Vacuum under desks and along edges and corners
  • Wipe interior glass partitions and inside door glass
  • Clean microwave interior; wipe refrigerator handles and shelf edges
  • Dust and wipe chair bases, arms and legs
  • Descale restroom fixtures as needed

Monthly

  • Wipe baseboards and door frames
  • Dust air vents, return grilles and ceiling corners
  • High dusting above reach: tops of partitions, light fixtures, tall shelving
  • Vacuum upholstered chairs and lobby furniture
  • Clean out the refrigerator (with a heads-up to staff first)
  • Deep clean restroom grout and floor drains

Quarterly and yearly

  • Carpet extraction: one to four times a year depending on traffic
  • Window cleaning: interior and ground-level exterior glass, monthly or quarterly
  • Hard floor stripping and refinishing for vinyl or VCT: once or twice a year
  • Upholstery cleaning for lobby and conference seating: yearly
  • Full deep clean before a move, audit or major client visit

Extra tasks for medical and dental offices

Clinical spaces need a stricter routine. Typical additions include disinfecting exam tables, chairs and counters after patient hours, cleaning waiting room seating and check-in counters every visit, using separate color-coded cloths for restrooms and clinical areas, and following the disinfectant your practice specifies. Sharps containers and regulated medical waste should stay with your medical waste vendor, not your cleaning crew. See medical office cleaning for how we handle these spaces.

What staff usually handle

Most cleaning agreements assume staff take care of personal desks, dishes and food in the refrigerator. Being clear about this avoids friction:

  • Clear desks you want wiped; cleaners usually do not move papers or personal items
  • Load or run the dishwasher and put away personal dishes
  • Label food in shared refrigerators before cleanout day
  • Report spills or restroom problems during the day, or use a day porter for daytime upkeep

How to check the work

A checklist only helps if someone looks at the results. Once a week, walk the restrooms, kitchen and reception first thing in the morning. Look at the corners of floors, the tops of trash cans, mirror edges and soap levels. Those are the first things to slip when a crew is rushing. Keep a short list of misses and send it to your cleaning contact in one message instead of a string of texts.

Office cleaning checklist questions

How often should an office be cleaned?

Most offices with 10 to 40 people are cleaned 3 times a week. Offices with heavy traffic, shared kitchens or many restrooms usually need nightly service. Small suites with light traffic can often be cleaned weekly.

What is the difference between daily and deep cleaning?

Routine cleaning covers trash, restrooms, kitchens, floors and touch points. Deep cleaning adds detail work like baseboards, vents, high dusting, appliance interiors and grout. Most offices spread deep cleaning tasks across a monthly rotation rather than doing them all at once.

Should cleaners clean employee desks?

Cleaners typically wipe clear desk surfaces and empty desk trash, but do not move papers, electronics or personal items. If you want desks fully cleaned, ask staff to clear them on cleaning days.

How often should office carpets be deep cleaned?

Most offices schedule carpet extraction once or twice a year. High-traffic entries, hallways and break rooms may need it quarterly. Regular vacuuming every visit extends the time between deep cleanings.
